Privacy policy

Draft status

This is a draft written from what the OtelCloud website and software actually do. It is not yet reviewed by a lawyer and is not a legal commitment. Notes in square brackets, like [LAWYER: …], mark what the lawyer must decide or complete before the website launches.

Who we are

OtelCloud is a hotel booking engine and front desk system made by Angkor Design in Cambodia. [LAWYER: the legal name, registration and address of the company that runs OtelCloud.]

What this website collects

When you send a message through the Contact or Book a demo form, we receive what you type:

• your title, first name and last name;
• your e‑mail address and phone number (one of the two is needed so that we can reply), and how and when you would like us to reach you;
• your property's name and type, its province and area, and a range or number of rooms;
• what you would like from OtelCloud, when you would like to start, how your guests book today, and the package you are interested in;
• any message you write.

The form also puts a short summary of your answers (a "quote brief") at the top of your message so that we do not have to ask the same questions again.

The website works out a scrambled code from your network address, with a secret key that only our server knows. The code cannot be turned back into your address. We use it only to limit how many messages one visitor can send, so that spam does not fill our inbox, and we keep it with your enquiry.

Like every web server, ours receives the technical details of each request, such as the page asked for and the time. [LAWYER: confirm what the hosting provider logs and for how long.]

What stays in your browser

• Your light or dark colour choice.
• The time of the last message you sent through the form, so that the form can tell you when its limit is reached. It does not keep what you typed.

This website does not use advertising or tracking cookies and has no analytics service.

Why we use it

• To reply to you, to arrange a demo or a trial, and to prepare a quote.
• To keep spam out of our inbox.

We do not sell your details, and we do not use them to advertise other companies.

Who can see it

• The OtelCloud team at Angkor Design, in a private tool where enquiries are listed and followed up.
• The services that host the website and send e‑mail for us: [LAWYER: name the hosting and e‑mail providers and where they are].

We e‑mail each new enquiry to the people on our team who answer them.

How long we keep it

[LAWYER: set the period. A suggestion: enquiries that do not become customers are deleted after 24 months, and a customer's enquiry is kept for as long as the account exists.]

Your choices

You can ask us for a copy of what we hold about you, to correct it, or to delete it, by writing to the address under "Contact" below. We will answer in English or Khmer. [LAWYER: the time we promise to answer within.]

Hotels' guests

A hotel that uses OtelCloud decides what it asks its guests and why; OtelCloud holds that data on the hotel's behalf and does not use it for its own marketing. The hotel's booking page tells the guest who the hotel is.

A hotel may record a guest's ID type, ID number and nationality, which Cambodian law asks hotels to keep. In the software this is limited to the hotel's own admin and front desk, is hidden except for its last characters until someone chooses to show it, and is never put in e-mails or shown on the booking page. Security

Passwords are stored only as one-way hashes. People who work in OtelCloud sign in with their own accounts, and what they do to a hotel's data is recorded in an audit log. [LAWYER: add the commitments about breaches and notification.]
